But, did you know? Care for your pet starts long before you actually see the veterinarian. Our Client Care Specialists (CCS), or reception team, is where pet care actually begins!

Answering phones and scheduling appointments might sound administrative on the surface. In reality, reception is one of the most important coordination roles in a veterinary clinic.
Every day, our reception team listens carefully for details that matter:
- Subtle changes in your pet’s behavior
- Timing of symptoms
- Cues that suggest stress, pain, or urgency
- Your questions and concerns
They translate what you are seeing at home into information the medical team can use. That early clarity helps us prepare appropriately and prioritize care correctly.
Good veterinary medicine depends on good information, and much of that information starts at the front desk.
Preparing For Your Visit
Before you even arrive, our Client Care Specialists have requested medical records from your previous vet office and have linked them to your account. These records will help the doctor know what tests and treatments your pet had in the past, and will give us a clearer picture of his overall health. Then, we can help your beloved companion feel better as quickly as possible.
Our reception team prepares your pet’s chart, highlighting any other services or medication refills that are coming due. If possible, we can incorporate those products and services into your current visit to save you extra trips to our office. The CCS team always looks for ways to help make it easier for you to care for your pet.
At the Front Door
As soon as you set foot in the door, our reception team makes your visit as comfortable and complete as possible. They do that by:
- Welcoming you and your pet by name so that you feel as relaxed as possible
- Checking your pet’s weight to record growth, find unexplained weight gain or loss, and prescribe accurate medication doses
- Assessing your pet’s stress level and, if necessary, offering calming pheromone spray and showing you to a room as soon as possible
- Listening to your concerns and informing your vet assistant of changes you’d like to make to your appointment
- Making sure you are seen promptly
They do all of this while juggling other pets in the lobby, answering phones, mopping up accidents, checking out other clients, receiving important deliveries, and loving on every pet that comes in the door! Somehow, they manage to do all of this with smiles on their faces!

Behind the Scenes
The whole team takes calls, schedules appointments, and prepares medical charts. However, different people use distinct skills to make your visit as complete and enjoyable as possible.
Amie
Amie often works at our entrance to help get your vet visit started. She is a recipient of the Veterinary Receptionist Certification of Excellence (VRCE) and strives to make your experience comfortable and efficient. In addition to checking in clients, taking calls, and preparing medical charts, Amie keeps our front office running smoothly. Amie’s superpower is her eagle eye for quality control, and she finds and corrects errors before they develop into problems. With her attention to detail, she orders our supplies, troubleshoots accounting issues, and maintains our equipment. She is the resident Printer Whisperer, and we can always count on her to help us out of a jam (paper or otherwise)!

Cassie
Cassie works in our phone room answering calls and emails, and is often the first point of contact for our clients. She is also the recipient of the Veterinary Receptionist Certification of Excellence (VRCE) and treats everyone with compassion and kindness. Cassie links incoming medical records to the appropriate accounts, manages the cancellation list, and handles appointment reminders. Additionally, she serves on our Leadership Team to help shape Countrycare’s culture, and many of our staff members turn to her for advice on a variety of issues. Cassie’s superpower is her cheerfulness, and you will often find her in the lobby chatting with clients and doting on all the animals.
Kelsey
Kelsey often greets clients at our entrance or concludes paperwork and sets future appointments at our exit. She has a great attention to detail and is cross-trained in both Inventory and the Lab.

She keeps our retail shelves stocked with supplements, food, treats, and toys, and is always on the lookout for new items to offer our clients! In addition, Kelsey has trained to be a Hospital Helper, where she holds pets during various procedures, prepares samples for the lab, and helps pets recover after surgery. Though she has an eye for detail, Kelsey’s superpower is her gentle compassion. She constantly looks for ways to improve the client experience and support her coworkers.
Rachel
Rachel works in the phone room but also often serves as a Liaison, managing text messages and answering clients’ questions. She takes your questions, does additional research if necessary, and discusses your concerns with the veterinarian. Once she has the answers to your questions, she informs you of the doctor’s advice and recommended next steps. She also documents all of that information in your pet’s medical record to keep everything up-to-date. Because Rachel serves as an intermediary between doctors and clients, she can see the big picture of veterinary care. Her superpower is putting pieces of the puzzle together and finding ways to streamline our processes for better patient care and customer service.

The Emotional Front Line of Care
Our receptionists are the ones answering the phones when clients are scared, frustrated, or overwhelmed. They absorb that stress so the rest of the team can stay focused on medical care. Additionally, they de-escalate difficult conversations, explain constraints with compassion, and keep communication respectful even when the situation is hard.
Much of this work is invisible to clients. And still, our reception team shows up calm, professional, and committed to helping pets receive the care they need. That steadiness matters more than most people realize.
